We also offer all paid days off for Federal holidays!Role:Our highly professional, organized, and detail-oriented Executive Assistant will serve as the support contact for the board of directors and provide high-level administrative support to the CEO. This role demands a proactive individual with exceptional communication skills, discretion, and the ability to handle sensitive information with the utmost confidentiality. This will possess technical aptitude and ability to capture action items from CEO meetings to follow up with deliverables to key stakeholders.Work Location:This is an onsite position. Occasional remote work may be available for select positions and is subject to prior approval by management.What you will be doing:

• Board Liaison:
  • Serve as the primary point of contact for all board members, providing exceptional support and ensuring their needs are met.
  • Facilitate effective communication between the CEO, senior management, and the Board of Directors.
  • Maintain detailed and up-to-date records of board members, including contact information and any relevant preferences.
  • Board Meeting Coordination:
    • Schedule and coordinate all board and committee meetings, ensuring availability of participants and securing appropriate meeting spaces.
    • Prepare, organize, and distribute agendas, meeting materials, and presentations in a timely manner.
    • Create, distribute, and manage the Board packet prior to the board meeting.
    • Maintains the Board policy manual.
    • Maintains the review schedule for board and management policies.
    • Updates and distributes new or revised policies to the appropriate parties.
    • Facilitates the election procedure in conjunction with the elections committee and nominating committee.
    • Order catering for meetings as required.
    • Attend board meetings as required, taking accurate minutes and tracking action items for follow-up.
    • Manage meeting logistics, including audiovisual setup, catering, and travel arrangements for board members.
    • Financial Administration:
      • Process and reconcile board members' credit card statements, ensuring accurate and timely documentation.
      • Liaise with the finance department to address any discrepancies or follow-up needs.
      • Maintain the board and executive break area as required.
      • Executive Support to the CEO:
        • Provide daily administrative support to the CEO, including managing the CEO's calendar, scheduling appointments, and coordinating travel.
        • Prepare reports, correspondence, and presentations for the CEO.
        • Assist with special projects and other duties as assigned by the CEO and Executive suite.What you'll bring along:
          • Bachelor's degree in Business Administration, Communications, or a related field, or equivalent experience.
          • 5+ years of experience in an executive assistant role, preferably supporting C-suite executives or board-level individuals.
          • Strong interpersonal and communication skills with a polished and professional demeanor.
          • High level of discretion and ability to handle sensitive and confidential information.
          • Exceptional organizational and multitasking abilities, with strong attention to detail.
          • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual meeting platforms (e.g., Zoom, Microsoft Teams).
